Adding and Dropping Classes
Students need to pay careful attention to Add and Drop deadlines each semester. These dates are posted on the SLIS Master Events Calendar.
Advance Registration
Before classes actually begin, students add and drop classes using the MySJSU web site at my.sjsu.edu/. No permission codes are needed during this "open registration" period. For more information and for dates, read our SLIS Registration Process.
Late Registration
Late Registration begins on the first official day of the semester. Late Registration ends on different dates for adds and drops. These dates are posted on the SLIS Master Events Calendar.
To add a class:
You must obtain a permission number from the instructor. Instructors may choose not to accept new students once the semester has begun. If the instructor does give permission and e-mails you a permission code, use the MySJSU web site to add the class. A tutorial at my.sjsu.edu/docs/sa/self_service_student/BPG_SR_SS_Add_Classes.pdf [PDF] explains how to add a class using a permission code. The deadline for adding a class in this manner is the 14th business day of instruction in any semester.
To drop a class:
You drop a class by using the SJSU MySJSU web site. A tutorial at my.sjsu.edu/students/help/QR_SR_SS_Drop_Class/ explains how to drop a class on the MySJSU web site.
Extenuating Circumstances
Adding or dropping classes after the deadlines early in the semester can be problematic and expensive. These dates are posted on the SLIS Calendar. For the period between the end of the Late Registration period (see the SLIS Calendar) and the last day of class in the semester, students can only drop a class by documenting their extenuating circumstances, and they will receive a "W" grade in their dropped class.
To add a class:
- You must contact the instructor to request adding their class. Instructors may choose not to accept new students once the semester has begun. If the instructor is willing to allow you to add their class, request that the instructor e-mail this permission directly to Scharlee Phillips (sphillip@slis.sjsu.edu).
- Fill out a Regular Session or Special Session add form as listed below. After you sign the form(s) yourself, you do not need to obtain other required signatures. Do not send paperwork to the Student Services Center yourself. Instead, submit the form to Scharlee Phillips by fax at (408) 924-2476 or by walk-in. Scharlee will obtain the necessary signatures and forward the paperwork to the proper place.
- Regular Session Adds: Use the Late Enrollment Request form at www.sjsu.edu/registrar/docs/Late_Enroll_Req.pdf [PDF]. (Note: the registrar periodically changes the name or location of the PDF form. If the link doesn't work, please report this to the SLIS Webmaster. Registrar forms are listed on the Office of the Registrar Forms page.)
- Special Session Adds for Extenuating Circumstances: Use two forms on iesweb.sjsu.edu/special/: the Reg/Drop Form and the Late Add Petition form. You can find the requested 5-digit Course Code by looking in the third column of the table on the SLIS Class Schedules.
- Pay your tuition plus any applicable late fees. It may take a few days for Scharlee to obtain signatures and get the paperwork to the correct department. Once the class is added, however, the Bursar's Office will post onto the Finance section of your MySJSU web page how much you have to pay as well as the payment deadline. This deadline may be as little as one day later, so be sure to monitor your MySJSU web page every day until you find out this information. You can pay online by credit card, or you can contact Amanda in the Bursar's Office at (408) 924-2476 to make other payment arrangements.
To drop a class:
Note: if your intention is to drop all your classes for the current semester, see the "Withdrawal" section below.
The deadline for dropping a class (without a "W") is posted on the SLIS Master Events Calendar. After that date, a grade of "W" will be recorded for a dropped class and you must show serious and compelling circumstances for dropping the course.
Regular Session Late Drops: Read the Late Drop information on our web site. Then print out the Late Drop Request [PDF] form and read the form's left-hand side regarding the acceptable circumstances and required support documentation needed to drop your class for "serious and compelling reasons". Fill out the form and sign it, but do not obtain the instructor signature or send the form and support documentation to Academic Services yourself. Instead, submit the form and support documentation to Scharlee Phillips by fax at (408) 924-2476 or by walk-in. She will obtain the necessary instructor signature and forward the paperwork to Academic Services.
Special Session Late Drops: Go to the Special Session web site at iesweb.sjsu.edu/special/. Fill out two forms: the Reg/Drop Form (for the correct semester) and the Late Drop Petition. You can find the requested 5-digit Course Code by looking in the third column of the table on our SLIS Class Schedules. Do not obtain the instructor signature or send the form and support documentation to Registration Services yourself. Instead, submit the form to Scharlee Phillips at fax: (408) 924-2476 or by walk-in. She will obtain the necessary instructor signature and forward the paperwork to Registration Services.
Refund Policy
Usually Late Adds and Late Drops incur penalty fees. The amount of the penalty fee will depend on how far into the semester the student attempts to add or drop a course. The longer a student waits to drop a course, the greater the risk is that student will receive little or no refund. All students need to pay attention to deadlines posted on slisadmin. There are different refund guidelines depending on whether you are in Special Session or Regular Session.
Regular Session Refunds: See the SJSU refund policy.
Special Session Refunds: See the Special Session web site for their Refund Table or phone (408) 924-2670 for refund policy information. If you are eligible to apply for a refund, fill out the Financial Petition Form [PDF]. (This link goes to the SJSU bursar's site.)
If you have questions, please contact Amanda at the SJSU Bursar'ss Office at (408) 924-2417.
Withdrawal
If you decide not to attend and are already enrolled in classes, be sure to drop those classes before you leave. If you do not drop classes, you will receive a grade of "U" which later turns into a grade of "F."
If you are a student who was newly admitted into our MLIS program in the current semester and it is too late to drop without a "W" (see dates posted on the SLIS Master Events Calendar):- If you have two or more classes and you want to drop only one class, use the correct Late Drop forms listed above.
- If you want to drop all your classes, use the correct Withdrawal forms listed below.
Withdrawals after the second week of instruction are approved only for serious and compelling reasons.
Regular Session Withdrawals: If you must withdraw, sign and submit the Withdrawal from the Semester Request [PDF] form and supporting documentation (see left-hand side of form regarding "acceptable circumstances") to Scharlee Phillips via fax: (408) 924-2476 or by walk-in. She will obtain the necessary signatures and forward the paperwork to Academic Services herself.
Special Session Withdrawals: Go to the Special Session web site at iesweb.sjsu.edu/special/.
